Mining services businesses run on evidence. Job packs, site inductions, equipment registers, inspection forms, maintenance logs, safety records, timesheets, dockets, photos, permits, customer reports. Your clients aren’t just paying for the work. They’re paying for the proof the work was done, done safely, and done by someone qualified to do it. In this industry the record isn’t admin that follows the job. The record is half of what you’re selling.
Which is why it hurts so much that most of it gets created under pressure in the field and then tidied up later by someone in the office. That tidy-up is a cost you pay on every single job, and while you’re paying it, the evidence you could be using to run the business better is sitting uselessly in a dozen different places.
Scattered evidence is a bill you pay twice

The ticket that expired mid-swing
Compliance failures in this industry rarely come from recklessness. They come from a date field nobody was watching. A worker gets rostered to site with an induction that lapsed three weeks earlier, and nobody catches it until the gate does. Now you’ve paid to mobilise someone who gets turned around, the crew is short for the swing, the client’s site administrator has your company’s name in an email thread you’d rather not exist, and the next tender assessment quietly remembers it.
The fix is unglamorous and mechanical: every ticket, induction, licence and medical for every worker, asset and subcontractor lives in one register with expiry dates, and the roster checks it before anyone is confirmed to a job, not after. A system that blocks an assignment because a ticket expires mid-swing costs you an awkward conversation two weeks early. The alternative costs you a mobilisation, a short crew and a mark against your name. Ask any operator who’s had a worker turned around at the gate which they’d rather pay.
AI is useful on the mess, with rules around it
The work throws off a lot of unstructured material: photos, PDFs, scanned documents, handwritten notes, emails, free-text inspection comments. That’s exactly the stuff AI reads and sorts well. It can pull the fields off a form, summarise a job’s history, draft a customer report, and flag where a piece of required evidence is missing before anyone downstream trips over the gap.
But it needs rules around it, and in this industry the rules aren’t optional. A model can read a form; the workflow decides who reviews it, where it lands, and what happens when something’s absent. On high-risk work a person stays in the loop, no argument. AI here is a way to cut the admin drag off the evidence, not a way to let the evidence go unchecked.
Traceability is the whole point, so a summary isn’t enough
Here’s the line that separates a useful mining services system from a liability. An AI summary on its own does not cut it for compliance. Every answer has to have a source you can open. If the system says a certificate is current, a person needs to click through to that certificate. If a report says a site check happened, the photo, the form and the timestamp had better still be attached and findable.

There’s a cash flow angle hiding in here too. Jobs in this industry often can’t be invoiced until the evidence pack is complete, so every missing signature and unfiled photo adds days to the billing cycle. If incomplete evidence adds a week to invoicing across a month of work, that’s a meaningful slab of revenue floating in limbo, not because the client is slow to pay but because you can’t yet prove what they’d happily pay for. A system that shows which jobs are stuck waiting on which piece of evidence turns that from a vague finance grumble into a Tuesday-morning list someone can clear.
Time one evidence pack, then decide

If it takes a day, you’ve found the project, and you’ve also found its price tag, because that day gets paid on every job you deliver and again every time a client audits one.
